PRIMARY JOB SUMMARY
Provides secretarial, clerical, word-processing or other system related and minor administrative support for the Oncology department. Handles matters of routine nature independently and processes confidential information.
PRIMARY JOB QUALIFICATIONS
- High school diploma or equivalent required with one to two years post high school secretarial training required.
- "2" years experience as a secretary, preferably in a medical setting
- Knowledge of medical terminology and transcription preferred
- Excellent communication and interpersonal skills
- Word processing required and minimum of 60 WPM required
PRIMARY JOB DUTIES (*denotes "essential function")
- Demonstrates the Resilience Healthcare Customer Service Values, which are key in providing quality service to patients and customers.*
- Transcribes and composes documents, memos, reports, correspondence, orders, policies and other assignments.
- Maintains files, copies, collates, distributes mail and materials.*
- Greets visitors. Screens and routes telephone calls.*
- Enters medical staff and departmental charges into the hospital computer system.*
- Maintains and updates department Policy and Procedure manual at the direction of the manager.*
- Coordinates and maintains the medical director’s schedule. Makes travel arrangements as needed. Schedules appointments and meetings.*
- Creatively generates solutions to problems. Participates in staff meetings, committees and on teams with the objective of improving the efficient workflow of the department to increase patient satisfaction.
- Serves as a resource person to answer inquiries and provide general information. When necessary directs problems to appropriate source.*
- Safeguards and maintains patient/hospital confidentiality.
- Ensures appropriate stock level of supplies. Initiates purchases/supply requisition for proper authorization. Initiates and recommends payment of invoices. Maintains and evaluates equipment service records, initiates service calls as needed and recommending changes when service records indicate excessive repairs.*
- Enhances professional growth and development though participation in educational programs, in-services, meetings, and workshops.
WORKING CONDITIONS
Physical/Environmental Hazards: Work is performed in a typical office environment. Incumbent is regularly exposed to VDT rays from the computer terminal and subjected to shifting workload.
OSHA Category III: Normal routine involves no exposure to blood, body fluid or tissue and as part of their employment, incumbents are not called upon to perform or assist in emergency care or first aid.
TB Exposure: There may be an occupational risk for exposure to TB and the incumbent is required to take TB control training, PPD skin tests and/or health screenings.
